How to find and export your Zoom Phone data.
Zoom Phone lists every call with its duration and whether it was recorded under Phone system > Logs in the Admin Center, and the Phone System usage report shows total call time. Account owners and admins can see both. Report hours of recorded audio.
Where Zoom Phone shows how much you have.
- Sign in to the Zoom web portal as an owner or admin and open Admin Center > Product configuration > Phone system > Logs.
- On the Calls tab, set From and To and review the Duration and Recorded columns, then use Export to CSV.
- Open the Recordings tab to see every recording of phone users and call queues, filtered by date range and recording type.
- For totals, open Admin Center > Reports > Usage Reports > Phone System, which shows total calls and Total Call Time by user or call queue.
Plan and role. You need the account owner or admin role and a Zoom Workplace license with Phone included or a standalone Zoom Phone plan. Recording policy settings must be turned on for recordings to exist.
What to report on the Polyshares intake.
Report Zoom Phone in hours. The intake also asks how many years the company has used it and how many seats it has.
Report hours of recorded audio by adding up the duration of calls marked as recorded in the call log export. Zoom does not delete recordings or call logs unless an admin has turned on auto-delete, so check that setting before assuming the history is complete.
For years in use, use the date Zoom Phone was added to your account. Seats are users with a Zoom Phone license; common area phones and call queues are not seats.
Export the full history.
- Export the call log from Phone system > Logs > Calls with Export to CSV, one date range at a time. The Phone System usage report can also export up to 100,000 call records to CSV.
- On the Recordings tab, select Download next to each recording to save it as an MP3 file.
By default Zoom Phone keeps recordings, voicemail and call logs with no time limit. If auto-delete is on, the default becomes 180 days and can be set from 1 to 4,000 days with soft or permanent deletion. Call records for Zoom-assigned numbers are kept for at least two years regardless.
Zoom's help pages describe downloading recordings one at a time, and the recording usage report covers at most one month per run. For thousands of files, ask Zoom support about bulk download options.
The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
Why Zoom Phone data has value for AI training.
Zoom Phone recordings come with a call path showing how each call was routed, answered and transferred, which ties the audio to the queue, site and outcome.
What stays private.
Admins can leave out call queues, sites or users by filtering the logs before anything is downloaded.
We anonymize identifying details before anything moves. Polyshares does that work, so your team does not have to scrub records first.
Your company keeps ownership of its data. The license is bounded to defined material and a defined use.
Polyshares is the buyer and pays your company directly. There is no fee or commission, and Polyshares reviews the record before it makes any offer.
Common questions about Zoom Phone data.
Does Zoom Phone delete recordings on its own?
Not by default. Recordings and call logs are kept without limit unless an admin turns on auto-delete, which defaults to 180 days once enabled.
Can I see when a Zoom Phone recording will be deleted?
Yes. The logs show an auto-delete status for each recording, and the call log shows a timer for when each entry will be deleted.
Who can download company recordings in Zoom Phone?
Account owners and admins can access all call recordings of phone users and call queues from the Recordings tab in the logs.
