How to find and export your RingCentral data.
RingCentral lists every call, its duration and whether it was recorded in the Admin Portal under Analytics & Logs > Call Log, which admins can open. Report the total duration of recorded calls in hours. Recordings are kept for 90 days, so the audio you can still export is usually far less than the time your team has spent on calls.
Where RingCentral shows how much you have.
- Sign in to RingCentral with an admin account and choose Admin Portal from the dropdown at the top right.
- Open Analytics & Logs > Call Log. The default view shows the last seven days, so pick a preset such as Last 60 days or set a custom date range.
- Switch to the Detailed view. Each row shows the call duration, and the Recording column marks calls with a recording you can play or download.
- Download the Call Log as a CSV file. Count the rows that have a recording for the recording count, and add up their durations for seconds of recorded audio.
- For company totals such as handle time and average call duration, open the Analytics portal and run the Company Numbers report, or a Performance Report for users and queues.
Plan and role. You need an Admin Portal administrator role with company call log access, such as Super Admin. Analytics reports depend on your RingEX plan and role; RingCentral lists analytics with its Advanced and Ultra plans.
What to report on the Polyshares intake.
Report RingCentral in hours. The intake also asks how many years the company has used it and how many seats it has.
Report hours of recorded audio. Add up the duration of every call that has a recording in the call log export and divide the seconds by 3,600. RingCentral keeps call recordings for 90 days and caps stored recordings at 100,000 per account, so without Archiver this figure covers about the last three months. If Archiver has been running, add the hours already saved in your Box, Dropbox, Google Drive or SFTP archive.
The call log itself is kept for 12 months on most accounts and nine months on some, so it cannot show the full life of the account. For years in use, go by the date your company first signed up with RingCentral, which appears on early invoices or can be confirmed with your account team.
Seats are the licensed users with a RingEX line. Do not count shared devices, fax numbers or call queues as seats.
Export the full history.
- In Analytics & Logs > Call Log, set the date range, choose the Detailed view and download the Call Log as CSV. Work one month at a time if the range is large.
- From the same download options, choose Recording Calls to save recordings for the calls in view as MP3 files.
- For ongoing backups, turn on Archiver. RingCentral's admin guide places the switch at More > Account Settings > Archiver Settings, where you turn on Admin Archiver.
- Open Archiver from More > Apps and Resources > Archiver in the Admin Portal, connect Box, Dropbox, Google Drive, Smarsh or an SFTP server, and select call recordings for all extensions.
- For one large pull, a developer can list calls with the Call Log API and download each recording from its content link, pacing requests to stay within RingCentral's rate limits.
Call recordings, both always-on and on-demand, are kept for 90 days. Always-on recordings are capped at 100,000 per account, and on-demand recordings at 200 per user mailbox. Recordings already past those limits cannot be exported, so start Archiver or a regular download before you need the history.
The call log is kept for 12 months on most accounts and nine months on some. Call log downloads are CSV files and recordings download as MP3 files.
Archiver is offered to RingEX Advanced and Ultra customers and copies call recordings, voicemails, texts and faxes. Once Admin Archiver is on, the Super Admin and Manager roles can archive for the whole company; custom roles need the company call log permissions for recordings and downloads.
Recording downloads through the API are throttled under their own rate limit group, so plan a bulk pull as a paced job rather than a single burst.
The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

How long does RingCentral keep call recordings?
RingCentral's retention policy lists 90 days for both always-on and on-demand call recordings. After that they are removed, so export or archive them first.
Does Archiver copy recordings made before it was turned on?
RingCentral says Archiver moves historical and current records starting from when you set it up. It cannot bring back recordings already removed after 90 days, so confirm how far back it will reach with RingCentral support.
Who can export the company call log?
An Admin Portal administrator with company call log permissions can view and download it under Analytics & Logs. Regular users only see their own call history.
Can I get more than 12 months of call history from RingCentral?
Not from RingCentral itself. The call log is kept for 12 months on most accounts and nine months on some, so older detail only exists if someone exported it earlier.
