How to find and export your Gong data.
Gong reports total call volume and total call duration in minutes in the activity report exported from Insights > Team. Any team member with the Export reports to CSV permission can request it. Divide the minutes by 60 and report hours.
Where Gong shows how much you have.
- Go to Insights > Team and set the filters and date range to cover the whole company.
- Click Export, keep the DATE RANGE option and select SEND REPORT TO EMAIL.
- In the activity report, add up Total Call Duration (min) across team members and divide by 60. Total Call Volume gives the call count.
Plan and role. The Export reports to CSV permission is required, and the export is available on any Gong plan. Team stats only include enabled team members.
What to report on the Polyshares intake.
Report Gong in hours. The intake also asks how many years the company has used it and how many seats it has.
Report hours of recorded calls from the activity report. Gong keeps calls for the lesser of three years and the time you have been a customer unless an admin set a shorter period, so the hours reflect at most the last three years. Team stats leave out disabled users, so the Download call data export, with one row per call, gives a fuller count.
For years in use, use your Gong start date. Seats are assigned Gong seats.
Export the full history.
- Go to Conversations > Search, filter the calls, open More actions and choose Download call data, then Send report via email. The CSV has one row per call with duration, word count and a link to the call.
- A tech admin creates an API key under Admin center > Settings > API with Get API key, and a developer pulls call data and transcripts through the Gong API.
- Companies with Data Cloud can have a tech admin share Gong data once a day to Snowflake, BigQuery, Databricks, S3 or Redshift.
Default retention is the lesser of three years and the period you are a customer, and data is deleted 30 days after you stop being a customer. Calls saved to library folders are kept past the limit unless an admin applies the policy to the library. Purged calls cannot be restored.
The Gong API allows 3 calls per second and 10,000 calls per day, so a multi-year pull of transcripts has to be paced. The CSV exports hold call metadata and analytics, not audio.
The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
