How to find and export your CallRail data.
CallRail shows each call, its duration and its recording in the Call Log, and the Calls API returns a recording duration for each recorded call. Report hours of recorded audio. CallRail deletes calls and recordings after 25 months, so that is the most history you can report.
Where CallRail shows how much you have.
- Sign in to CallRail and open the Call Log, setting the date range to cover the last 25 months.
- Export the call log and add up the durations of recorded calls, then divide by 3,600 for hours.
- For large accounts, a developer can use the Calls API with the recording duration field, or its time series summary for total calls by month.
Plan and role. Call recording is included on every current plan: Lead Tracking, Lead Tracking Complete, Lead Conversion and Lead Conversion Complete. Use a login that can see every company in the account.
What to report on the Polyshares intake.
Report CallRail in hours. The intake also asks how many years the company has used it and how many seats it has.
Report hours of recorded audio. CallRail keeps communication records, including calls and call recordings, for 25 months and then deletes them, so the hours cover at most about two years even if the account is older. For years in use, use the account start date on your first invoice. Seats are CallRail users.
Export the full history.
- Export the Call Log from CallRail for the full 25 months.
- A developer can page through the Calls API, up to 250 calls per page, request the recording field for each call and follow it to the MP3 file.
Calls, call recordings, texts, chats, form submissions and web visitor sessions are deleted 25 months after they are created. The API allows 1,000 requests per hour and 10,000 per day, so a large recording download has to be spread out. Transcripts only exist where transcription was part of your plan.
The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
