How to find and export your Aircall data.
Aircall shows each call, its duration and whether it was recorded in Call History in the Aircall Dashboard, which admins and supervisors can open. Report the total in-call duration of recorded calls in hours. The Dashboard only reaches back six months, so older recordings have to be requested from Aircall support.
Where Aircall shows how much you have.
- Sign in to the Aircall Dashboard as an admin.
- Open Call History and filter by date range and phone lines. The Dashboard holds up to six months of call data.
- Check the Recording field, which shows when a call has a recording you can play in the Dashboard.
- Export the filtered results to CSV. The export includes in-call duration, waiting time, time to answer, IVR time and the call ID; add up in-call duration for recorded calls and divide by 3,600 for hours.
- For totals by user, team or line, open Analytics, set the period and use Download at the top right to get a ZIP of CSV files, one per dashboard tile.
Plan and role. Admins can see all calls, and supervisors see calls and recordings for the numbers they manage. Essentials includes basic analytics, Professional adds advanced analytics dashboards, and Custom includes Analytics+ with unlimited analytics history.
What to report on the Polyshares intake.
Report Aircall in hours. The intake also asks how many years the company has used it and how many seats it has.
Report hours of recorded audio from the Call History export. Because the Dashboard only covers six months, that figure understates the account on Professional and Custom, where Aircall keeps recordings with no set limit and releases older ones by request. Ask Aircall support how far back your stored recordings go.
On Essentials, recordings are kept for up to one year, so the most you can report is about 12 months of audio. For years in use, use the date your Aircall account was opened, which is on your first invoice.
Seats are licensed Aircall users. Do not count phone numbers, IVR lines or AI voice agents as seats.
Export the full history.
- In Call History, filter to a date range within the last six months and export the results to CSV. Work in monthly slices so no single export is too large.
- In Analytics, use Download to export the dashboard as CSV, or use Download on a single tile and choose All results to go past the 1,000 row view.
- Download recordings from the Dashboard, where admins and supervisors can play and save recordings for the numbers they manage.
- For a bulk pull, a developer can page through the Calls API. Each call carries a link to its MP3 recording that works for one hour, so download each file as soon as you list it.
- For recordings older than six months, open a request with Aircall support. Support can send links to older recordings when they exist but will not download them for you.
Call data and recordings from the last six months are available in the Dashboard and in exports. Essentials keeps recordings for up to one year, and Professional and Custom keep them with no set limit, but anything older than six months is reached by request.
The Calls API returns at most 10,000 calls in a list, even with pagination, and call search only covers six months of history. The API allows 120 requests per minute per company. Recording links expire after one hour and short recording links after three hours.
Analytics CSV exports are generated in UTC regardless of the dashboard's filters. Deleting a recording also deletes its transcript and AI insights, and deleted recordings cannot be restored. Call records themselves cannot be deleted.
When your agreement with Aircall ends, Aircall keeps recordings for no more than 30 days, so export before you cancel.
The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
Why Aircall data has value for AI training.
Aircall is used by sales and support teams that spend their day on the phone. Each recording sits next to the line, the user, the team and the outcome, so a conversation can be tied to whether it was answered, transferred or sent to voicemail.
Waiting time, time to answer and IVR time in the call data show how callers moved through the business before a person picked up.
What stays private.
You decide which numbers and teams are included, and recordings you have deleted in Aircall stay deleted.

Does Aircall delete old recordings?

Can I download all Aircall recordings at once?
Aircall's help center does not describe a bulk download button. Admins download recordings from the Dashboard, and larger pulls go through the Calls API, where each recording link lasts one hour.
Who can see every call in Aircall?
Admins can see all calls. Supervisors see calls and recordings for their assigned numbers, and agents can download recordings of calls they took part in.
