How to find and export your Zoom data.
Zoom account owners and admins see cloud recording storage under Account Management > Reports > Cloud Recording and every cloud recording under Account Management > Recording and Transcript Management. Zoom reports storage and file size, not hours, so convert using your own recordings or pull durations from the API. Report hours.
Where Zoom shows how much you have.
- Sign in to the Zoom web portal as the account owner or an admin.
- Go to Account Management > Reports and open Cloud Recording to see storage used by date and by meeting host. Each view covers up to 30 days within the past 6 months, and Export as CSV file saves it.
- Go to Account Management > Recording and Transcript Management and open the Recordings tab to list every cloud recording on the account. Filter by date range and host.
- Click Export to download a CSV with each recording's host email, meeting ID, topic, start date and time, and file size.
- To get hours, check the length and file size of a sample of recordings, work out hours per GB, and apply it to the total file size. Developers can pull exact durations from Zoom's cloud recording API, which returns recording start and end times and total size.
Plan and role. The Cloud Recording report and Recording and Transcript Management need account owner or admin privileges. Cloud storage is pooled across the account: 10 GB per licensed user on Pro and Business, 15 GB per licensed user on Business Plus, and unlimited on Enterprise.
What to report on the Polyshares intake.
Report Zoom in hours. The intake also asks how many years the company has used it and how many seats it has.
Enter total recorded hours with hours as the unit. If you only have file sizes, divide the total GB by the GB per hour you measured on a sample of your own recordings, and note that it is an estimate.
For years in use, use the start date of the oldest recording in Recording and Transcript Management. Deleted cloud recordings can typically be recovered for only 30 days, so count what is still stored.
For seats, use the number of licensed users on the account. Computer recordings saved to people's own devices are not in cloud storage, so leave them out unless you collect those files separately.
Export the full history.
- Sign in as the account owner or an admin and open Account Management > Recording and Transcript Management.
- On the Recordings tab, filter by date range and host, and click Export to save the full list as a CSV to track progress.
- Open each recording and click Download to save its files.
- For large accounts, have a developer use Zoom's cloud recording API with an admin scope such as recording:read:admin to list recordings and fetch each file from its download URL.
- Collect computer recordings separately from the Zoom folder inside each host's Documents folder.
Zoom saves recordings as MP4 video and M4A audio, with TXT and VTT files for chat and transcripts. Audio transcripts exist only if audio transcription for cloud recordings was turned on when the meeting was recorded.
Zoom's help article on Recording and Transcript Management describes downloading one recording at a time and does not describe a bulk download, so large archives are usually pulled through the API.
Deleted cloud recordings can typically be recovered for 30 days when the account has trash turned on for recordings. After that they are gone.
Computer recordings never reach Zoom's cloud. They are saved under Documents, in a Zoom folder, on each user's Windows, Mac or Linux computer, and only that device has the files.

Common questions about Zoom data.
How much cloud recording storage does each Zoom plan include?
Pro and Business include 10 GB per licensed user, Business Plus includes 15 GB per licensed user, and Enterprise is unlimited. Storage is pooled at the account level, and more can be bought as an add-on.
Can a Zoom admin collect recordings saved to a host's computer?
Not from the web portal. Computer recordings are saved to the host's own device, in a Zoom folder under Documents, so the files have to be gathered from each computer.
Are transcripts included with Zoom cloud recordings?
Only if audio transcription for cloud recordings was turned on when the meeting was recorded. In that case a transcript file is stored with the recording.
Can we recover Zoom recordings that were deleted?
Typically for 30 days after deletion, if the account has trash turned on for recordings. After that Zoom removes them for good.
