How to find and export your Microsoft Teams recordings data.

Teams meeting recordings are MP4 files saved to the Recordings folder in the organizer's OneDrive, or to the team's SharePoint site for channel meetings. No report totals recorded hours, so admins size recordings with an eDiscovery search for MP4 files and convert at Microsoft's planning figure of about 400 MB per hour. Report hours.

Where Microsoft Teams recordings shows how much you have.

  1. In the Microsoft 365 admin center, go to Reports > Usage, open OneDrive, and check Storage used (MB) per user to see where large recording libraries sit.
  2. For a recordings-only figure, create a Purview eDiscovery search of organizers' OneDrive accounts and team SharePoint sites, limited to the mp4 file extension and your date range.
  3. Divide the total size of the results by about 400 MB for each hour, which is Microsoft's planning figure for a one hour recording.

Plan and role. Usage reports need a role such as Reports Reader, SharePoint Administrator or Global Administrator. eDiscovery searches and exports need eDiscovery permissions and a Microsoft 365 Enterprise E3 or E5 license.

What to report on the Polyshares intake.

Report Microsoft Teams recordings in hours. The intake also asks how many years the company has used it and how many seats it has.

Enter recorded hours as the unit, estimated from total MP4 size at about 400 MB per hour unless you have exact durations. For years in use, use the oldest recording date, and note that recordings expire after 120 days by default unless your meeting policy changed it, so older years may be missing. For seats, count the users who organize recorded meetings.

Export the full history.

  1. In the Microsoft Purview portal, open eDiscovery > Cases, run the search for MP4 recordings in OneDrive and SharePoint, and select Export.
  2. Choose Export items with items report, set the package sizes, and download the packages from the export's Overview tab within 14 days.
  3. Developers can instead call the Teams Export APIs getAllRecordings and getAllTranscripts in Microsoft Graph for each organizer, with the OnlineMeetingRecording.Read.All and OnlineMeetingTranscript.Read.All permissions.

Recordings and transcripts expire after 120 days by default, and expired files move to the OneDrive or SharePoint recycle bin, where work accounts keep them for 93 days unless an admin changed that. Call recordings go to the OneDrive of the person who selected Record, not the organizer.

The Graph recording and transcript APIs support only private scheduled meetings, so use eDiscovery for other meeting types. Recordings download as MP4, and transcripts come as VTT by default or DOCX on request.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

Why Microsoft Teams recordings data has value for AI training.

Teams recordings capture internal reviews, customer calls and training sessions, with a transcript when transcription was on. Channel meeting recordings sit in the same SharePoint site as the team's files, which links spoken discussion to the documents it produced.

What stays private.

You choose which organizers and channel sites the search covers, so sensitive meetings can stay out.

We anonymize identifying details before anything moves. Polyshares does that work, so your team does not have to scrub records first.

Your company keeps ownership of its data. The license is bounded to defined material and a defined use.

Polyshares is the buyer and pays your company directly. There is no fee or commission, and Polyshares reviews the record before it makes any offer.
