How to find and export your ServiceTitan data.
ServiceTitan has no single screen that shows total data size. Count your records by running reports under Reports and exporting customer and job search results to XLSX, which needs reporting permissions and the export search results permission. Report the combined job, customer and invoice rows as records.
Where ServiceTitan shows how much you have.
- Sign in as a user with reporting permissions. If you cannot open reports, ask your ServiceTitan account administrator to grant them.
- Open Reports in the navigation bar and pick a job or invoice report from the All Reports screen.
- Set the date fields to cover the whole time your company has used ServiceTitan, then click Run Report.
- Click Export above the results, choose Export to XLSX, and click Export. The number of rows in the file is your record count for that report.
- For customers, click Search in the top toolbar, choose Customers with no filters, click the Expand icon and select Export to Excel (*.xlsx). Count the rows.
- Add the job, customer and invoice row counts together for the total.
Plan and role. Reports require reporting permissions. Exporting job search results requires the Allow exporting search results permission, which an administrator enables under Settings > People > Employees on the employee's Permissions tab.
What to report on the Polyshares intake.
Report ServiceTitan in records. The intake also asks how many years the company has used it and how many seats it has.
Enter the total of your job, customer and invoice rows as records. If you also export estimates, calls or memberships, add those rows and say which record types you counted in the notes field.
For years in use, look at the oldest job or invoice date in your widest report run. The date your company went live on ServiceTitan is usually close to that and your account manager can confirm it.
For seats, count the employees and technicians who have their own ServiceTitan logins, including office staff and field technicians on the mobile app.
Export the full history.
- Export each core report to XLSX with the date range set to cover all years: jobs, invoices and any estimate or membership reports you rely on.
- Export the full customer list from Search > Customers with no filters using Export to Excel (*.xlsx).
- For the complete history in machine readable form, have a developer create an app at developer.servicetitan.io and connect it in ServiceTitan under Settings > Integrations > API Application Access with Connect New App.
- Call the Export APIs (endpoints with /export in the path) with no starting token. They begin at the first record, return a continueFrom token, and set hasMore to false when the full history has been pulled.
- Photos, videos and file attachments sit on customer, location, job and project records. Ask your ServiceTitan account manager how to pull them in bulk for your account.
Report exports come out as XLSX or PDF, and a report only contains the columns and date range you ran. Check that the date fields cover every year before you export.
Search result exports need the per employee Allow exporting search results permission. Without it the export option does not appear.
The Export APIs are built for full snapshots and ongoing pulls. New or changed records become available about 15 minutes after the change unless the includeRecentChanges parameter is set. Creating an app needs the Generate API Application Key and Manage API Application Access permissions and your tenant ID.
The help center does not document a bulk download for photos and attachments from the office app, so plan on asking ServiceTitan for that part of the history.
The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

Common questions about ServiceTitan data.
Why can't I see the Export to Excel option on job search results?
ServiceTitan requires the Allow exporting search results permission for each user. An administrator can turn it on under Settings, People, Employees on that employee's Permissions tab.
Which ServiceTitan plan do I need to export reports?
ServiceTitan sells Starter, Essentials and The Works packages, and advanced reporting is listed with The Works. Report exports depend on your permissions and package, so confirm with your account manager if the Reports area looks limited.
Can I get all history through the API without a partner app?
Yes. A ServiceTitan user in your organization can create an app in the developer portal, connect it under API Application Access, and call the Export APIs, which start at the first record when no token is passed.
How do I export job photos and attachments?
Individual files can be opened and downloaded from the record they belong to. The help center does not describe a bulk download, so ask your ServiceTitan account manager what is available for your account.
