How to find and export your Procore data.

Procore has no company wide data size screen. A company admin exports the project list from the Portfolio tool to get the project count, then counts items such as RFIs, submittals and daily logs in each project's tools. Report those items as records.

Where Procore shows how much you have.

  1. As a user with Admin permission on the company Portfolio tool, open Portfolio and apply filters to include both active and inactive projects.
  2. In the projects list, click the vertical ellipsis, choose Export and select CSV. Count the rows for your project total.
  3. Open a few representative projects and note the item counts in tools such as RFIs, Submittals, Daily Log and Observations, then estimate the total across projects.

Plan and role. Admin permission on the Portfolio tool shows every project in the company; Read Only users only see projects they were added to. Procore Extracts needs Admin permission on each tool being extracted.

What to report on the Polyshares intake.

Report Procore in records. The intake also asks how many years the company has used it and how many seats it has.

Enter the estimated total of project items as records and put the project count in the notes. If most of your data is documents, drawings and photos, report the total size of your Procore Extracts folders in GB instead. For years in use, use the oldest project in the list. For seats, count company users, not outside collaborators.

Export the full history.

  1. Install Procore Extracts on a Windows computer, sign in, and choose the company and an active project.
  2. Select the tools to extract, choose whether to include attachments, and click Extract. The computer must stay online and powered on until it finishes.
  3. Repeat for each project. Each extract creates a folder by project and tool, with most items as PDFs and documents and photos in their original file types.

Procore Extracts is Windows only, runs one project at a time and only lists active projects, so inactive projects must be reactivated or handled with Procore support first. Project Archive, formerly Data Extracts 2.0, is a project level alternative that downloads ZIP files and also needs Admin permissions. Procore does not publish a storage usage view for the Documents tool, so ask your Procore account manager for company storage totals.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

Can Procore Extracts export every project at once?

No. You select one company and one project per extract, though you can run extracts back to back.

Does Procore Extracts work on a Mac?

No. Procore Extracts is a Windows desktop application.

Why can't I see all projects in the Portfolio export?

Users with Read Only permission see only projects they were added to. A user with Admin permission on the Portfolio tool can export all active and inactive projects.
