How to find and export your Jira data.

Jira shows the total number of results for any search in the work item navigator. Run a JQL search across all projects as a user who can browse every project, and report the total as records. The count is visible on every plan, but it only includes projects the searching user can browse.

Where Jira shows how much you have.

  1. Sign in as a user with browse access to every project. The search only counts work items you are allowed to see.
  2. Open Filters and choose the option to view or search all work items.
  3. Switch to JQL, enter ORDER BY created ASC with no other conditions, and run the search.
  4. Read the total number of results shown in the navigator. The first result is your oldest work item.

Plan and role. Search is on every Jira Cloud plan. The count covers only projects the searching user can browse, so a Jira admin may need to grant browse access first.

What to report on the Polyshares intake.

Report Jira in records. The intake also asks how many years the company has used it and how many seats it has.

Report the total work items from the all projects search as records on the Polyshares intake. Comments, attachments and history belong to each work item, so they do not add to the count.

For years in use, take the created year of the first result in the same search sorted oldest first.

Seats are the licensed users on your Jira subscription. If you run Jira Service Management on the same site, list it as its own system.

Export the full history.

  1. Sign in as a Jira admin. Organization admins can block exports with data protection policies, so check with them if the option is missing.
  2. Open Settings > System and, under IMPORT AND EXPORT, select Backup manager.
  3. Under Backup for cloud, select Create backup for cloud and check Include additional files to add attachments, avatars and logos.
  4. When the backup is ready, select Download backup file. The zip holds entities.xml, activeobjects.xml and a data folder with attachments.
  5. For a spreadsheet of a smaller set, run a JQL search, open More actions > Export and choose Export CSV - all fields. Each comment gets its own Comment column.

The Backup manager file includes work items, system and custom fields, comments, board and sprint data, user settings and project configuration such as workflows, schemes and screens. It leaves out Jira's rule-based workflows (which can be exported separately), third-party app data and Assets.

If you include attachments, avatars or logos, you must wait 48 hours between backups. Starting January 22, 2026, Backup manager only restores from backups 30 days old or less, so download and store the file promptly.

CSV export is for slices, not the whole site. A single export request returns at most 1,000 work items, the asynchronous CSV export handles up to 10,000, and anything larger has to be split by project or created date and merged. CSV carries attachment URLs, not the files.

Premium and Enterprise sites can also use Atlassian Backup and Restore from admin.atlassian.com, which needs both organization admin and app admin permissions and includes attachments. File storage limits are 2GB per app on Free, 250GB on Standard and unlimited on Premium and Enterprise.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

Why is my Jira CSV export capped at 1,000 work items?

A single CSV export request returns up to 1,000 work items. Jira Cloud's asynchronous export handles up to 10,000, and beyond that you split the search by project or created date. Use Backup manager for the full site.

Does the Jira Cloud backup include attachments?

Yes, if you check Include additional files when creating the backup. Backups with attachments can only be created every 48 hours.

Who can create a Jira Cloud backup?

A Jira admin with access to the System settings. An organization admin can block exports with a data protection policy.

How much file storage does each Jira plan include?

Free sites get 2GB per app, Standard gets 250GB and Premium and Enterprise are unlimited. The default maximum per file is 1GB, and an admin can raise it to 2GB.
