How to find and export your Asana data.

Asana does not show a storage figure or a workspace task total in its documented admin pages. A developer can read num_tasks for each project from the task counts API and add them up. Report tasks as records.

Where Asana shows how much you have.

  1. Pick an account that can see every project. On Enterprise plans, a super admin or a service account is best.
  2. Have a developer list the projects in your workspace or organization through the Asana API.
  3. For each project, call GET /projects/{project_gid}/task_counts with opt_fields=num_tasks. Fields are excluded unless you request them.
  4. Add num_tasks across all projects. A task that lives in more than one project is counted in each, so treat the sum as an upper bound.

Plan and role. The task counts endpoint works for any project the token can see, and it has an extra rate limit, so large workspaces need patience. The admin console and super admin role are on Enterprise and Enterprise+.

What to report on the Polyshares intake.

Report Asana in records. The intake also asks how many years the company has used it and how many seats it has.

Report the summed task count as records on the Polyshares intake. Comments and attachments belong to tasks, so the task total is the number to give.

For years in use, use the creation year of your oldest project or the year your organization started paying for Asana.

Seats are the paid members billed on your Asana plan.

Export the full history.

  1. Confirm your plan. Asana lists a complete JSON backup of the organization on Enterprise+, and on Enterprise through the Compliance add-on. Personal, Starter and Advanced get CSV and PDF exports only.
  2. On those plans, request the organization export. Through the API, a service account calls POST /organization_exports with the organization's gid.
  3. Poll the export until its state is finished. Large organizations can take from several minutes to a few hours.
  4. Download the gzipped JSON right away. The download URL is valid for about 1 hour, so request a fresh one if it expires.
  5. On Personal, Starter or Advanced, export each project to CSV and combine the files.

The organization export is the only native path to all of an organization's data in one file. Asana's API reference limits it to service accounts of Enterprise organizations, and the pricing page places the complete JSON backup on Enterprise+ or Enterprise with the Compliance add-on.

Project CSV exports cover one project at a time. Check a sample file for the fields you need before exporting hundreds of projects.

Graph exports, available on Enterprise and Enterprise+, start from a project, team, portfolio or goal. Resource exports cover tasks, teams and messages in bulk. Both return gzipped JSON Lines with a download link that expires after 1 hour.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
