How to find and export your Confluence data.
Confluence Cloud shows storage used for each app in admin.atlassian.com under Site settings > Storage, which Confluence admins can open. Convert that figure to MB for the intake. On Standard, Premium and Enterprise, Space Reports adds storage used and content counts for every space.
Where Confluence shows how much you have.
- Sign in as a Confluence admin, go to admin.atlassian.com and select your organization.
- Open your site. With original user management, select the site name or URL; with centralized user management, select Apps first and then the site.
- Under Site settings, select Storage. You'll see storage used and remaining for each app, including Confluence. The figure refreshes every 4 hours.
- For a breakdown by space, open Confluence, go to Confluence Administration > Settings and select Space Reports.
- Download the CSV. It lists every space with Storage used (MB), Content Count, Attachments, Creation Date and Last Activity.
Plan and role. You must be a Confluence admin to view storage. Space Reports is available on Standard, Premium and Enterprise, not on Free.
What to report on the Polyshares intake.
Report Confluence in MB. The intake also asks how many years the company has used it and how many seats it has.
Report Confluence storage in MB from the Storage page in admin.atlassian.com. If you pulled Space Reports, the sum of the Storage used (MB) column is a good cross check, and the Content Count column gives a page count to keep for reference.
Storage includes attachments and their older versions. Archiving pages does not free storage, so a site full of PDFs and images will show a much larger number than its text alone.
For years in use, take the earliest Creation Date in the Space Reports CSV. For seats, count the users with access to Confluence on your site in admin.atlassian.com.
Export the full history.
- As a Confluence admin, select the gear icon at the top right, then go to Settings > Data management and select Backup manager.
- Select Backup attachments so files come with the pages.
- Choose Create backup for cloud. Only one backup file is stored at a time, and a new backup overwrites the old one.
- When the backup is complete, download it from the link shown. The link is available for 14 days.
- To export a single space instead, open More actions next to the space name, then Space settings > General > Export space, and choose XML, HTML, CSV or PDF.
A site backup can be up to 30 GB plus 800 GB of attachments. It includes pages, whiteboards, team calendar data and, if selected, all attachments, including those in the archive or trash. That can make the backup larger or smaller than your reported storage.
Databases appear in the backup tree but keep none of their content or data, so export database data separately. User and group settings are only partly included, and soft deleted spaces are left out.
Space exports only include content visible to the person exporting, except CSV and XML exports run by a site admin, which include everything. PDF exports never include comments, blog posts are left out of PDF space exports, HTML exports currently skip page comments, and no space export includes Team Calendars.
Storage limits by plan are 2 GB on Free, 250 GB on Standard and unlimited on Premium. A site over its limit cannot create or edit content until storage is freed or the plan is upgraded.
The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
Why Confluence data has value for AI training.
Confluence spaces hold a company's long lived documentation: runbooks, product requirements, architecture decisions and postmortems. Page version history shows how a document changed and who changed it.
Structure carries context. Spaces map to teams and pages nest under parents, so a postmortem sits next to the runbook it updated, and inline comments record the review around it.
What stays private.
You choose which spaces are included, so personal spaces or restricted HR and legal spaces can be left out of what you license.
We anonymize identifying details before anything moves. Polyshares does that work, so your team does not have to scrub records first.
Your company keeps ownership of its data. The license is bounded to defined material and a defined use.
Polyshares is the buyer and pays your company directly. There is no fee or commission, and Polyshares reviews the record before it makes any offer.
Common questions about Confluence data.
Does the Confluence Cloud backup include attachments?
Only if you select Backup attachments before creating it. When selected, it includes attachments in the archive and trash as well.
Why doesn't our backup size match the storage number in admin?
The backup includes attachments in the archive and trash, and Atlassian notes this can make the file differ from reported storage. The storage figure also refreshes only every 4 hours.
Can a space admin export all content in a space?
A space admin can export a space, but only content visible to them is included. CSV and XML exports run by a site admin include all content.
Are Confluence databases included in a site backup?
No. Databases show in the page tree of a backup but without their content, data or functionality, so export them on their own.
