How to find and export your Notion data.

Notion does not show a total storage figure in workspace settings. The most reliable size is the full workspace export, which a workspace owner starts from Settings > General > Export all workspace content; report the size of the export in MB. Enterprise workspaces can also see pages and their created dates in Settings > Analytics.

Where Notion shows how much you have.

  1. Sign in on desktop or web as a workspace owner. Only workspace owners can open the workspace settings used below, and you can confirm your role on the Members tab.
  2. Open Settings in the sidebar, then under Workspace select General.
  3. Select Export all workspace content and choose Markdown & CSV as the format, keeping files and images included.
  4. Wait for the email from Notion with the download link. Exports can take up to 30 hours on large workspaces, and the link expires after 7 days.
  5. Download the export and note its size in MB. The unzipped folder size is the better figure, since text compresses well.
  6. On the Enterprise plan, open Settings > Analytics and use the Content tab, which can be filtered by Created on and exported to CSV, to count pages.

Plan and role. The workspace export needs the workspace owner role and runs on desktop or web only. Workspace analytics is available only on the Enterprise plan, and only workspace owners see every tab.

What to report on the Polyshares intake.

Report Notion in MB. The intake also asks how many years the company has used it and how many seats it has.

Report the size of the workspace export in MB. Give the unzipped size if you have it, since that is closer to the real volume of pages, databases and uploaded files. If the person who ran the export cannot see every teamspace, treat the number as a floor, because Notion skips pages the exporter cannot access.

For years in use, use the oldest page you can find or the date your company started paying for Notion. On Enterprise, the Content tab in workspace analytics can be filtered by created date, although analytics data only starts on the day the workspace moved to Enterprise.

For seats, count the members listed on the Members tab in settings. List guests separately if you have many of them, since they usually see only a few pages.

Export the full history.

  1. Before you start, make sure the workspace owner running the export has access to every teamspace you want included. Pages the exporter cannot access, such as other members' private pages, are left out.
  2. Open Settings > General and select Export all workspace content.
  3. Choose Markdown & CSV. Pages become Markdown files, and databases become CSV files with a Markdown file for each database page. Keep files and images included so uploads come with the export.
  4. Download the ZIP from the email link within 7 days. An index.html sitemap in the export links to every exported page.

Workspace export is available as Markdown & CSV or HTML. Notion has been retiring the option to export workspace content as PDF, rolling the change out gradually through August 31, 2026, so do not plan on a PDF workspace export.

The export includes all pages the exporter can access plus uploaded files. Form views cannot be exported, callout blocks come through as HTML inside Markdown files, and comments can be included in HTML exports. An exported workspace cannot be reuploaded to recreate the workspace.

Notion's help center says there is no built in scheduled backup yet. The public API can read pages and databases if you need a repeatable pull.

File uploads drive most of the size. The Free plan caps uploads at 5 MB per file, and paid plans allow files of about 5 GB each.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

You decide which teamspaces the exporting owner can see, so private pages and restricted teamspaces stay out of the export unless you choose to include them.

Does the Notion workspace export include uploaded files?

Yes. The workspace export includes your pages and the files uploaded to them. Large uploads such as PDFs and videos are usually most of the export size.

Why is some content missing from our Notion export?

Notion only exports pages the person running the export can access. Other members' private pages are skipped, so have a workspace owner with access to every teamspace run it.

How long does a full Notion workspace export take?
