How to find and export your Microsoft Dynamics 365 Business Central data.

The Table Information page lists the number of records and the size in KB for every table. Add up the records in your main ledger tables, such as G/L Entry, Cust. Ledger Entry and Item Ledger Entry, and report the total as records. A full database export needs an administrator with the D365 BACKUP/RESTORE permission set.

Where Microsoft Dynamics 365 Business Central shows how much you have.

  1. Select the search icon, enter Table Information, and choose the related link.
  2. Filter on Company Name if you have more than one company, then read the No. of Records column for your ledger and document tables.
  3. Add those counts together. Size (KB) shows data plus index size for each table if you also want a size figure.

Plan and role. Business Central online. Microsoft's page does not name a permission for Table Information, so ask your Business Central administrator if you cannot open it.

What to report on the Polyshares intake.

Report the sum of your ledger entry tables as records. For years in use, take the posting date of the oldest G/L entry. For seats, count licensed named users.

The sizes on Table Information are data sizes, not allocated space, and they leave out indexed views used for SIFT totals. They will not match the capacity figure shown in the admin center.

Export the full history.

  1. In Azure, create a Standard general-purpose v2 storage account. Generate a SAS with Blob service, Container and Object resource types, and Read, Write, Delete and Create permissions, valid for at least 72 hours. Copy the Blob service SAS URL.
  2. In the Business Central administration center, open the environment from the Environments list and choose Database > Create Database Export.
  3. Enter a File Name, paste the URL into SAS URI, enter a Container Name, and start. The BACPAC file appears in that container when the export finishes.

Database export needs a paid Business Central subscription. The user must be an internal or delegated administrator with the D365 BACKUP/RESTORE permission set in that environment. Each environment allows up to 10 exports per month, and Azure premium storage accounts are not supported.

The BACPAC holds the tenant's business data; application data sits in a shared database. The export can take minutes to hours, and the file can be imported into Azure SQL Database or SQL Server.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
