How to find and export your NetSuite data.

NetSuite has no single total for record data. Count transactions with a saved search and report that count as records. File cabinet storage in GB is under Setup > Company > View Billing Information. Use the Administrator role for both.

Check your data

Where NetSuite shows how much you have.

Sign in with the Administrator role.
Go to Lists > Search > Saved Searches > New and choose the transaction record type.
Leave the criteria open, or filter on date created, and click Save & Run.
On the results page, click Export - CSV and count the rows. Repeat for customers, vendors and items if you want those counts too.
For file storage, go to Setup > Company > View Billing Information and read the Current Used Quantity for File Cabinet Size (GB).

Plan and role. Any NetSuite service tier. The records a saved search returns depend on the role's permissions, so run counts with the Administrator role to avoid gaps.

What to report on the Polyshares intake.

Report NetSuite in records. The intake also asks how many years the company has used it and how many seats it has.

Report the transaction count from your saved search as records. Make sure the search returns one row per transaction, not one row per transaction line, or the number will be several times too high.

For years in use, sort the saved search by date and take the oldest transaction. If the company migrated to NetSuite, earlier years may only exist as imported opening balances.

For seats, count named NetSuite users with a login. Service tiers cap users, from up to 100 users on Standard to up to 4,000 on Ultimate, which gives a quick sanity check.

Export the full history.

Sign in with the Administrator role. Only Administrators can use CSV Export.
Go to Setup > Import/Export > Export Tasks > Full CSV Export and click Submit.
When the File Download window appears, save the file with a .zip extension. It holds one CSV file per list or report.
If the export times out, open each list or report page and click Export - CSV to pull smaller sets.
For complete transaction history, export saved searches for each record type, or query the data through SuiteAnalytics Connect.

Oracle states that Full CSV Export does not export all data. It covers accounting lists, classes, contacts, customers, departments, employees, expense categories, items, memorized transactions, notes, other names, partners, saved reports you own, ship items, solutions, tasks, topics, vendors and the Transaction Detail report. Customer and item lists export based on the view selected for each list.

The export runs your saved searches, so a failing saved search can make the whole export fail. File cabinet documents are not in the list above.

SuiteAnalytics Connect gives read-only ODBC, JDBC or ADO.NET access to the NetSuite2.com data source, the only Connect data source as of NetSuite 2026.1. It must be provisioned for your account and enabled under Setup > Company > Enable Features on the Analytics tab. What you can read depends on the role you connect with.

Service tiers also cap file storage, from up to 100 GB on Standard to up to 4,000 GB on Ultimate. Accounts over the file cabinet limit get a 90 day grace period.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

Why NetSuite data has value for AI training.

NetSuite runs order to cash and procure to pay in one system. A sales order links to its fulfillment, invoice and payment, so the full life of each transaction is recorded with dates and approvals.

What stays private.

The company decides which saved searches and record types to export, so employee compensation and bank details can stay in NetSuite.

Common questions about NetSuite data.

Does Full CSV Export include every transaction?

No. It includes the Transaction Detail report and a set of lists, and Oracle says it does not export all data. Use saved searches or SuiteAnalytics Connect for complete transaction history.

Who can run Full CSV Export?

Only users with the Administrator role.

What should I do if Full CSV Export times out?

Export smaller sets by opening each list or report and clicking Export - CSV. Also review your saved searches, since one failing saved search can stop the export.

Is SuiteAnalytics Connect included in every account?

No. It has to be provisioned. If you do not see the SuiteAnalytics Connect option on the Analytics tab of Enable Features, contact NetSuite Customer Support or your account manager.
