How to find and export your Odoo data.

Odoo list views show how many records match your filters, so clear the filters and read the count for journal items, invoices and sales orders. Report the total as records. For the full history, download a database backup.

Where Odoo shows how much you have.

  1. Sign in with an administrator account and open the app you want to count, such as Accounting or Sales, in list view.
  2. Remove the default filters so every record shows, and note the record count the list view displays.
  3. Repeat for journal items, invoices and sales orders, then add the counts.

Plan and role. Any Odoo edition. A list view only shows records your access rights allow, so use an administrator account for complete counts.

What to report on the Polyshares intake.

Report the combined count as records. For years in use, take the date of the oldest journal entry. For seats, count internal users with a login, not portal users such as customers.

Export the full history.

  1. On Odoo Online, open the database manager at odoo.com/my/databases, select the database, click Manage, then Download Backup to get a .zip file.
  2. On Odoo.sh, open the production branch, go to the Backups tab, and download a backup with the filestore included.
  3. For spreadsheets of specific records, select them in a list view, click the gear icon, choose Export, and pick CSV or Excel.

If Download Backup is disabled in the Odoo Online database manager, the database is too large to download there; contact Odoo Support for another method. Odoo.sh keeps seven daily, four weekly and three monthly production backups, each with the database dump, the filestore (attachments and binary fields), logs and sessions.

List exports can time out on large sets, so export in smaller batches. A backup is the only way to get every app's data and attachments together.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
