How to find and export your Shopify data.
Shopify has no single data size figure. Use Analytics > Reports to total orders since the store opened and report that number as records. Staff need the Reports permission to open reports and the Export permission to export.
Where Shopify shows how much you have.
- Sign in as the store owner or a staff member with the Reports permission under Analytics.
- Go to Analytics > Reports and open a report that counts orders.
- Set the date range to start at the store's first order and end today, then read the order total.
- To check the figure, export orders by date from Orders > Export and count unique order numbers in the CSV.
Plan and role. Shopify Analytics is available on every Shopify plan. Staff need the Reports permission to view reports, and the Export permission under Orders, Customers or Products to export each one.
What to report on the Polyshares intake.
Report Shopify in records. The intake also asks how many years the company has used it and how many seats it has.
Report total orders as records. Count each order once, not each line item, since an order export has one row per line item and would inflate the number.
For years in use, take the date of the store's first order. For seats, count the store owner plus staff accounts with admin access.
Customers and products matter too, but keep them out of the records number unless the store has few orders and a large catalog.
Export the full history.
- Go to Orders, click Export, choose Orders by date, and set the start date to the store's first order and the end date to today.
- Choose the file format and click Export orders. Then repeat and click Export transaction histories for payment records. Both files are emailed to you and the store owner.
- Go to Customers, click Export, choose all customers, and click Export customers.
- Go to Products, click Export, choose all products, and export. Product images are not in the file.
- For very large stores, have a developer run bulk queries through the GraphQL Admin API, which return JSONL files.
Exports of up to 50 orders download in the browser; larger exports and exports by date are emailed to you and the store owner. Shopify estimates under an hour for fewer than 100,000 items and around 4 hours for 400,000 items, and sends an email if the export fails. Transaction histories contain only captured payments, not authorization data.
Customer exports of more than 50 customers are emailed and are limited to 15 MB. Product exports leave out images, keeping only image URLs that work while the images stay publicly accessible, and very large product exports can time out, so split them with filters. All files are UTF-8 CSV.
Through the API, apps see orders from the last 60 days by default. Older orders need the read_all_orders scope, which Shopify must approve for the app. Bulk queries must finish within 10 days, result links expire after one week, and API versions 2026-01 and later allow up to five bulk queries per shop at once.
The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
