How to find and export your Rippling data.
Rippling does not show a data size figure. Build custom reports in the Reports app and use the row counts: every employee record, plus payroll runs or time entries. Any user can run reports within their permission profile, so use an admin whose role covers the whole company, and report records.
Where Rippling shows how much you have.
- Sign in with a Rippling admin role whose permission profile covers every employee, payroll and time data. Reports only show records your role can see.
- Open the Reports app and start a custom report, or copy one of the built-in report templates.
- Build a report of all employees with hire and termination dates, including terminated employees if the filters allow, and note the row count.
- Build a second report of payroll runs, or of time entries if you use Rippling Time and Attendance, over the full date range and note that count.
Plan and role. Any Rippling user can run reports and build dashboards, but only through their own permission profile. For company wide counts, use an admin whose role covers all employees, payroll and time data.
What to report on the Polyshares intake.
Report Rippling in records. The intake also asks how many years the company has used it and how many seats it has.
Report records, using employees ever on file as the number, and add payroll runs and time entries in your notes. Years in use starts at the earliest hire date or first payroll date recorded in Rippling. For seats, count the active employees and contractors managed in Rippling today.
Export the full history.
- Open each saved report in Reports and use the report's download or export option to save the full table as a file.
- Repeat for the employee, payroll and time reports so each data type is its own file.
- If a report is too large to download, ask your Rippling account team about the Rippling developer platform, which includes Pipelines for moving data out.
Rippling reports can join data from Rippling's HR and IT products and from connected third party apps, with filters, formulas, pivot tables and calculated fields. Reports only include records your permission profile allows, and Rippling has no single button that exports the whole account. The Rippling Help Center requires a login, so confirm download file types and any row limits with Rippling support before a large export.
The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
