How to find and export your ADP data.
ADP does not show a data size figure. Count records with custom reports: in RUN Powered by ADP they live under Reports > Custom Reports, and in ADP Workforce Now under Reports & Analytics. Report employees ever on file as records, with payroll runs in your notes.
Where ADP shows how much you have.
- Confirm which ADP product you use. RUN Powered by ADP and ADP Workforce Now are separate products with different menus; the detailed steps below were checked against RUN.
- In RUN, go to Reports, open the Custom Reports tab and click Create New Custom Report. Choose the Employee or Contractor Profile Data type, add hire date and status fields, then click Run report and View Online to see every row.
- Create a second custom report from Payroll Transaction data. RUN sets the check date filter to your last payroll, so use Filter Your Report to widen it back to your first payroll, then count the payrolls.
- In Workforce Now, open Reports & Analytics, run a standard or custom report of all employees and one of payroll history, and note each row count.
Plan and role. In both products, report access depends on your user role. Use an administrator with access to all employees and payroll history.
What to report on the Polyshares intake.
Report ADP in records. The intake also asks how many years the company has used it and how many seats it has.
Report records, using employees ever on file as the number, and add payroll runs in your notes. Years in use starts at your first check date in ADP, which the payroll transaction report shows once you widen the date filter. For seats, count the active employees on your current payroll.
Export the full history.
- In RUN, run each custom report, choose View Online, then export it as a CSV or Excel file.
- In Workforce Now, run each report and export it to Microsoft Excel.
- Save the custom reports so you can rerun them later with the same fields and filters.
RUN custom reports export to PDF, CSV or Excel. The report type you choose limits which fields you can add, so payroll transactions are not available in a profile data or paid time off report, and you need one report per data type. The builder preview shows only the first 5 rows, so always run the full report before counting.
Workforce Now reports can be printed or exported to Microsoft Excel, and it combines standard and user defined reports. Neither product offers a single export of the whole account, so a full history is a set of report files.
The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

Common questions about ADP data.
Are RUN and Workforce Now the same?
No. They are separate ADP products with different menus. RUN keeps custom reports under Reports and the Custom Reports tab, while Workforce Now uses Reports and Analytics. If you are unsure which you have, ask your ADP account contact.
Why does my RUN custom report show only a few rows?
The builder preview shows only the first 5 rows. Click Run report and choose View Online to see every row before you count or export.
Does the RUN payroll report cover my full history by default?
No. A Payroll Transaction data report starts filtered to your last payroll check date. Change the check date filter to a range that begins with your first payroll.
