How to find and export your BambooHR data.

BambooHR does not show a data size figure. Count records with reports: a custom report of all employees, including inactive ones, gives employees ever on file, and the Timesheet Entries report gives time entries if you use time tracking. Use an admin whose access covers every employee, and report records.

Where BambooHR shows how much you have.

Sign in as the Account Owner or an admin whose access level covers every employee and field.
Open Reports. Admins find saved custom reports under Custom Reports, which has My Reports and Company Reports tabs.
Create a custom report with employee number, status, hire date and termination date, include inactive employees, and note the row count.
If you use BambooHR time tracking, run the Timesheet Entries report over the full date range and note the number of entries.

Plan and role. Report access follows your BambooHR access level. Non admins only see their own saved reports in My Reports, so use an admin with access to all employee records.

What to report on the Polyshares intake.

Report BambooHR in records. The intake also asks how many years the company has used it and how many seats it has.

Report records, using employees ever on file as the number, and add time entries or time off requests in your notes. Years in use starts at the earliest hire date on file, or the date your company started using BambooHR if older staff were never loaded. For seats, count the active employees in BambooHR today.

Export the full history.

Open each report and export it from the More menu in the upper right corner. Choose CSV or Excel for counts; PDF is also offered.

For large or repeated pulls, an admin can use the BambooHR API, which runs saved custom reports and returns up to 1,000 records per page.

Standard and custom reports export to CSV, Excel or PDF, and standard report exports to Excel include the unique employee number. A report export only covers the fields in that report. Employee documents are separate; admins can download all of one employee's files from the Documents tab on that profile.

The API's Get Report by ID endpoint runs a saved custom report and returns JSON in pages of up to 1,000 records, and it counts only the rows left after the report's own filters. The older Get Company Report endpoint that returned CSV, PDF, XLS, XML or JSON is deprecated.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

Common questions about BambooHR data.

Do BambooHR reports include former employees?

Only if the report includes inactive employees. Check the report filter before you count so the number reflects everyone ever on file.

Can I export employee documents in bulk?

Documents are not part of report exports. BambooHR lets you download all documents from a single employee's Documents tab, and documents are not needed for the intake count.

Is there an API for exporting BambooHR data?

Yes. The BambooHR API can run saved custom reports and query datasets, returning JSON up to 1,000 records per page. Access needs an API connection with the report scope.
