How to find and export your Intercom data.

Intercom does not show a storage figure. Teammates with the Can access Reports permission can see conversation counts in a Conversations report, which covers up to 2 years of data. Report total conversations as records, and use the Conversations API total count for anything older.

Where Intercom shows how much you have.

  1. Check that your teammate role has the Can access Reports permission. Creating a new report also needs Can create, edit and internally share reports.
  2. Open Reports, create a new report and pick the Conversations template.
  3. Read the New conversations figure. A report can show up to one year at a time, so run it once per year and add the years together.
  4. Reporting data reaches back 2 years. For older history, a developer can call the Search conversations API with a created_at filter and read total_count from the response.

Plan and role. Reports come with all current plans (Essential, Advanced and Expert), but access is controlled by teammate permissions. The Conversations API needs an access token from a developer app in the workspace.

What to report on the Polyshares intake.

Report Intercom in records. The intake also asks how many years the company has used it and how many seats it has.

Enter total conversations on the Polyshares intake as records. One conversation holds every message, note and reply in that thread, so conversations are the right unit rather than individual messages.

For years in use, take the year of your oldest conversation. Reports only reach back 2 years, so a developer may need the Search conversations API sorted by created date to confirm older history. Your first invoice date is a good backstop.

Seats are the teammate seats you pay for, since Intercom prices per seat. Users, leads and companies are customer records, not seats.

Export the full history.

  1. Sign in as an Intercom admin. The most complete native export is the conversations export to cloud storage, which includes message content and optional attachments.
  2. Go to Settings > Data > Imports & exports > Export data and select New data export.
  3. Pick JSON or JSONL, turn on attachment exports, and connect an Amazon S3 or Google Cloud Storage bucket. Test the bucket connection.
  4. Turn on the historical export, choose Hourly or Daily for ongoing files, then click Start data export and confirm from the verification email.
  5. For people data, open your contacts list, select the users, and choose More > Export users. The CSV link arrives by email and expires after one hour.

The historical cloud storage export covers 2 years of conversations. Each JSON file holds up to 200 conversations, attachments are filed by conversation and part, and Intercom can only write to your bucket, not read or delete. One bucket cannot receive exports from more than one workspace.

The CSV from the Dataset export page in Reports is metadata only: IDs, timestamps, attributes and metrics, with no message text and no attachments. It also covers up to 2 years, and files over 10,000 rows are sent by email.

From the Inbox you can download one conversation at a time as a text transcript, which leaves out internal notes, images and attachments. Deleting or archiving a user or lead also deletes their conversations, so export before any cleanup. The Conversations API is the path for bulk transcripts and anything older than 2 years.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
