How to find and export your Freshdesk data.

Freshdesk does not show a storage total, so count tickets. The Filter Tickets API returns a total with each search, and the Account Administrator can export all helpdesk data as XML. Report tickets as records.

Where Freshdesk shows how much you have.

  1. Have a developer use an agent API key to call the Filter Tickets API at /api/v2/search/tickets with a created_at date range.
  2. Read the total value in the response. Run one query per year and add the totals.
  3. Do not rely on List All Tickets for a count. By default it only returns tickets created in the past 30 days.

Plan and role. Any agent API key can call the Filter Tickets API for tickets that agent can see, so use an admin's key. The account export is limited to the Account Administrator role.

What to report on the Polyshares intake.

Report Freshdesk in records. The intake also asks how many years the company has used it and how many seats it has.

Report the ticket total as records on the Polyshares intake. For years in use, take the earliest year that returns tickets. Seats are your paid agent licenses.

Export the full history.

  1. Sign in as the Account Administrator.
  2. Go to Admin > Account > Account Details > Export data and click Export.
  3. Download the file from the email sent to the account administrator. The data arrives as XML in a compressed file.

The account export covers tickets with their content, solution articles, forums and the customer list. It is XML, so plan on a developer converting it to CSV or JSON. Freshdesk's help center lists the export on Free, Growth, Pro and Enterprise, but another Freshdesk article limits the full export to Pro and Enterprise, so confirm with Freshdesk support for your plan.

Ticket replies and private notes are also available per ticket from the conversations endpoint of the Freshdesk API, subject to hourly rate limits that vary by plan.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

Why does the Freshdesk API only return recent tickets?

List All Tickets returns tickets created in the past 30 days by default. Pass the updated_since parameter to reach older tickets, or use the Filter Tickets API with a date range.
