How to find and export your WhatsApp Business data.
The WhatsApp Business app has no admin screen with a message total, and its history lives on the phone and in its backup. The WhatsApp Business Platform Cloud API keeps messages for 30 days at most, so older API history exists only where your company or its provider saved it. Report messages.
Where WhatsApp Business shows how much you have.
- Confirm which product you use. The WhatsApp Business app runs on a phone, while the WhatsApp Business Platform Cloud API sends messages through your own software or a provider.
- For the app, export a few busy customer chats, count their messages, and scale by the number of customer chats on the phone.
- For the Cloud API, count the stored messages in the database, CRM or inbox tool that receives your messages. Meta does not keep a history you can query later.
Plan and role. The app needs the phone that holds the business account. Cloud API history needs access to the system your company or its provider built to store incoming and outgoing messages.
What to report on the Polyshares intake.

Enter the total or estimated message count with messages as the unit. For years in use, use the date of the oldest chat on the phone or the first message in your own message store. For seats, count the phones running the business account, or the agents who answer in your API inbox.
Export the full history.
- In the WhatsApp Business app, open a customer chat, open the chat menu and choose the export option. Pick whether to attach media or export without media, and send the file to email or storage you control.
- Repeat for each chat you want to include.
- For Cloud API history, export from your own message database or from your provider's reporting or export tool.
Chat export works one chat at a time. Backups to a Google Account on Android or iCloud on iPhone copy all chats, but they exist to restore WhatsApp on a phone and can be end-to-end encrypted, so they are not a readable export.
Meta's Cloud API documentation says messages have a maximum retention period of 30 days, used for features such as retransmission, and media files persist for 30 days unless deleted sooner. Anything older exists only if your systems saved it when it arrived.
