How to find and export your Google Chat data.

Google Chat message activity is in the Admin console under Reporting > Apps Reports > Google Chat and in the Apps usage report. Neither shows an all-time total, so use the message count file in a Vault export when you can. Report messages.

Check your data

Where Google Chat shows how much you have.

Sign in to the Google Admin console as an admin with the Reports privilege.
Go to Reporting > Apps Reports > Google Chat to see messages sent and message types over time.
For per-user figures, open Reporting > User Reports > Apps usage and read Chat messages or reactions, 28-day. Most metrics go back six months.
For a full count on editions with Vault, export Chat from a Vault matter. The export includes an accounts and message count file.

Plan and role. The Apps usage report needs the Reports administrator privilege. Vault is included with Business Plus, Enterprise Standard, Enterprise Plus, Frontline Standard, Frontline Plus, education editions and domain-verified Enterprise Essentials and Essentials Plus; other editions need a Vault add-on license.

What to report on the Polyshares intake.

Report Google Chat in messages. The intake also asks how many years the company has used it and how many seats it has.

Enter the message count from a Vault export if you have one. Otherwise scale six months of Apps usage data to your years in use and mark it as an estimate. Use messages as the unit.

For years in use, use the earliest message date in the Vault metadata file or the date Chat was turned on. For seats, count users with a Workspace license who use Chat.

Export the full history.

In Vault, open Matters, create or open a matter, and choose Chat as the service with All data as the source.
Select all accounts or an organizational unit, include messages in spaces, set the full date range, and click Export. Choose PST or mbox.
Without Vault, a super admin can go to Data > Data import & export > Data export in the Admin console, click Set up new export, and export all users.

Vault exports Chat messages and attachments sent with history on, including messages external users sent into your spaces and DMs. It skips messages sent with history off, linked files and messages in external spaces. Exports arrive as ZIP files of PST or mbox with XML and CSV metadata and stay available for 15 days.

The Data Export tool needs a super admin account at least 30 days old with 2-Step Verification. The export is available no sooner than 48 hours after it starts, typically takes 72 hours and can take up to 14 days. Google notes that Chat spaces and group direct messages can be left out because no single user owns them, and deleted data is not exported unless Vault retained it.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.
