How to find and export your Close data.

Close does not have a storage or usage page, so the row counts of a full export are the best measure. An Admin or Super User can run the exports. Report leads, contacts and opportunities together as records.

Check your data

Where Close shows how much you have.

  1. Sign in as an Admin or Super User.
  2. Open Leads with no filters, click ... > Export, and run a CSV export for each type: leads, contacts and opportunities.
  3. Count the rows in each file and add them together.

Plan and role. Exporting is available to the Admin and Super User roles on Essentials, Growth and Scale. Restricted Users cannot export, and custom roles are only on Scale.

What to report on the Polyshares intake.

Report Close in records. The intake also asks how many years the company has used it and how many seats it has.

Enter the combined row count as records. If you also export activities in JSON, mention the activity volume in the notes. For years in use, sort the leads export by date created and note the oldest year, and for seats count active users in your organization.

Export the full history.

  1. Go to Leads, leave the search unfiltered, and click ... > Export.
  2. Set Type to leads, choose JSON as the format and All fields. JSON lead exports are the only built-in export that includes activities such as emails, calls, SMS and notes.
  3. Open the download link Close emails when the export finishes, then run CSV exports of contacts and opportunities if you also want flat tables.

CSV exports do not include activities; those come only in JSON lead exports. Download links expire after 7 days. The API endpoint POST /api/v1/export/lead/ supports leads, contacts and lead_opps types in CSV or JSON, returns gzip-compressed files, and includes activities only when include_activities is true on a JSON leads export.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

Does a Close CSV export include emails and calls?

No. Activities are only included in a JSON export of the leads type, from the exporter or the API with include_activities set to true.

How long is the export link valid?

Close emails a download link that expires after 7 days.

Which roles can export data?

The Admin and Super User roles can export lead and opportunity data to CSV or JSON. Restricted Users cannot export.
