How to find and export your Egnyte data

Where Egnyte shows how much you have.

Sign in to the Egnyte web interface as an admin.
Click the menu icon, choose Reports, and under Dashboard select the Storage tab to see storage space, growth and private folder sizes.
For a breakdown, expand Storage Reports in the Reports Center and run the Folder Size Report on the folders in scope. The .tsv download lists current file size in GB, all versions size in GB, file count and version count for each folder.

Plan and role. Admins can open the Dashboard and run the Folder Size Report. Power Users can run it only if they have been given the can run reports role.

What to report on the Polyshares intake.

Report Egnyte in GB. The intake also asks how many years the company has used it and how many seats it has.

Report current file storage in GB. The Folder Size Report shows both current files and all versions, so use Files Total Size (GB) as the size and mention the versions total in your notes if it is much larger. Years in use is the year the Egnyte domain was set up, and seats are licensed users.

Export the full history.

For large volumes, connect the Egnyte Desktop App and choose Sync folder for offline access on each folder you need, or copy folders from the mounted drive to local storage. Desktop App downloads are subject only to plan file size limits.
For smaller sets, select files and folders in the web interface and choose Download. The confirmation dialog offers to include all versions and subfolders and shows the total file count and size before the ZIP downloads.

Web and mobile ZIP downloads stop at 10,000 files, 10 GB total and 50,000 folders. Single file downloads from the web work up to 100 GB. Plan file size limits are 100 GB on Team and Business and 150 GB on Enterprise Lite and Enterprise. Egnyte deletes all data from canceled accounts, so finish the export before cancelling.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

Common questions about Egnyte data.

Who can run the Egnyte Folder Size Report?

Admins, and Power Users who have the can run reports role. The report is capped at 100,000 rows, or 10,000 rows for Power Users limited to folders they can access.

Why is the versions total larger than the files total?

The versions figure counts every stored version of every file, while the files figure counts only current versions. Report the current files figure as the size.

What happens to our data if we cancel Egnyte?

Egnyte says canceled accounts and their data are completely deleted from its servers. Export everything you need before the account closes.
