How to find and export your Dropbox data.

Dropbox shows total team storage on the Admin console dashboard under Storage details, and the Team storage report breaks it down by folder. Admins on Standard, Business, Advanced, Business Plus and Enterprise can see it. Report the total in GB.

Where Dropbox shows how much you have.

  1. Sign in to dropbox.com with an admin account.
  2. Click Admin console in the left sidebar and look at Storage details on the dashboard. It shows the team folders using the most storage, usage history over time and the top 10 members by usage.
  3. Click See all members to see each member's exact storage used and storage limit.
  4. For a folder level breakdown, go to Admin console > Products > Dropbox > Content, click Export storage report, then click Start export.
  5. When the email arrives, open the CSV in your Dropbox Business reports folder. It lists each folder path, its type (team folder, shared folder, private content and so on), size in MB, owner and file count.

Plan and role. Storage details and the Team storage report are available on Dropbox Standard, Business, Advanced, Business Plus and Enterprise. The report can be run by Team, User management, Reporting, Security, Support and Compliance admins.

What to report on the Polyshares intake.

Report Dropbox in GB. The intake also asks how many years the company has used it and how many seats it has.

Report the team's total storage used as the size, in GB. The Team storage report lists sizes in MB, so divide its total by 1,024 if you add it up yourself. The report can take up to an hour on large teams.

For years in use, use the year the company set up its Dropbox team. If files were moved in from an older file server, the oldest files can predate the account, so mention that in your notes.

Seats are the licensed members on the team. Count active members on the Members page and leave out removed or deleted members.

Export the full history.

  1. For the full file set, install the Dropbox desktop app on a machine with enough free disk space and sync the team folders you need. Dropbox recommends the desktop app for large downloads, and it lets you adjust bandwidth.
  2. For smaller folders, download from dropbox.com. A folder downloads as a .zip only if it is under 250 GB uncompressed and holds fewer than 10,000 files.
  3. To reach one member's files on Advanced, Business Plus or Enterprise, go to Admin console > Members, click More next to the member and choose Log in as member. Click Switch back when you finish.
  4. For people who have left, go to Admin console > Members, choose Deleted under Removed, click More next to the name, choose Manage files and transfer the files to an active team member.
  5. If the team has the Data Governance add-on, open Admin console > Products > Dropbox > Legal holds, create a hold on the members you need and export the hold's files to a folder in your Dropbox.

Folder downloads from dropbox.com stop at 250 GB uncompressed and 10,000 files, including files in nested folders. Individual files have no download size limit. Large exports are more reliable through the desktop app.

A deleted member's files can be transferred only once, to one team member, and only within your version history limit. After that limit passes, the files cannot be recovered or transferred.

Legal holds require the Data Governance add-on, which is available to Standard, Business, Advanced, Business Plus and Enterprise teams. A hold export can be filtered by member, date range, file type and file version. It leaves out cloud docs, preview only files and files the member could not edit, and files created within 24 hours of the export may be missing. Each hold covers up to 100 members, with up to 300 holds per team.

The Data Governance add-on also extends version history to 10 years, which widens the window for recovering older versions and former members' files.

The intake only needs the size, so you do not have to run an export to fill it in. You also do not need to clean or scrub an export. Polyshares handles anonymization before anything moves.

Where do I see total Dropbox storage for the whole team?

Sign in as an admin, open the Admin console and check Storage details on the dashboard. For a per folder CSV, export the Team storage report from the Content page under Products.

Can I download everything from dropbox.com as one zip?

Only if the folder is under 250 GB uncompressed and has fewer than 10,000 files. For anything larger, sync with the Dropbox desktop app or download smaller folders one at a time.

What happens to the files of people who left the company?

If the member was deleted, an admin can transfer their files to one active team member from the Members page under Removed. The transfer works only once and only within your version history limit.

Do we need legal holds to export Dropbox data?

No. Syncing team folders with the desktop app is the most direct way to get a full copy. Legal holds are part of the paid Data Governance add-on and are useful when you need one member's content filtered by date or file type.
